It could be a simpler process, a way to reduce unnecessary costs, an idea that improves customer experience, a workplace safety improvement, or something that makes everyday work easier for everyone.

The Employee Suggestion Program (ESP) gives employees a structured way to share those ideas and helps ensure that suggestions reach the right people for review, consideration, and action.

Rather than letting good ideas get lost in emails, conversations, or informal discussions, ESP creates a clear process for submitting, reviewing, endorsing, and providing feedback on employee suggestions.

What Is the Employee Suggestion Program?

The Employee Suggestion Program is a structured channel where employees can submit ideas that may help improve the organization.

Employees can choose from several suggestion categories:

This allows suggestions to be organized according to the area they are intended to improve.

Step 1: Employees Submit Their Ideas

The process begins with the employee.

Employees describe their suggestion in detail through the ESP module. They can also provide supporting material, such as a screenshot, sample, or proof, when it helps explain the idea.

Employees also have the option to save an unfinished suggestion as a Draft before submitting it.

The available statuses at the employee level help employees understand where their suggestion is in the process:

Draft → Submitted → For Review → Reviewed → Considered → Approved / Reviewed with Feedback

The program also supports anonymous suggestions. Employees may choose whether they want to share their idea in person and, if they do, provide their email address and mobile number.

Once submitted, the employee receives confirmation that the idea has been successfully submitted and is under review. Employee names and details are not visible to reviewers when the submission is anonymous.

Step 2: The Suggestion Goes Through Initial Review

After submission, the suggestion is routed to the appropriate HCSS AMG Heads for initial review.

The HCSS AMG Heads are notified when a new suggestion is submitted and can access the suggestion through their ESP view.

At this stage, the suggestion may be:

If more information is needed, the employee may be invited to explain the suggestion further.

The system also allows the HCSS AMG Head to provide comments and identify the appropriate BU/SDU Head for the next stage of review.

Step 3: Endorsed Suggestions Move to the BU/SDU Head

When a suggestion is reviewed and endorsed by the HCSS AMG Heads, the process moves to the Business Unit / Strategic Division Unit (BU/SDU) Heads.

An email notification is sent to the appropriate BU/SDU Head with a link to the suggestion card for review.

The BU/SDU Head can then evaluate the suggestion and provide the appropriate response.

At this stage, the available statuses include:

This creates a second level of evaluation before a suggestion is formally approved or returned with feedback.

Step 4: Feedback Is Communicated

Not every suggestion will necessarily move forward in the same way, and the ESP process provides a way to communicate the outcome.

If a BU/SDU Head provides feedback, the AMG Head/CPO/HR Manager is notified of that feedback.

For suggestions marked Reviewed – with Feedback, the employee is also notified.

This gives employees visibility into what happened to their idea instead of leaving them wondering whether their suggestion was received or reviewed.

If no feedback is received, the system communicates that no further action is required.

A Clear Routing Flow

The ESP process creates a defined path for every suggestion:

Employee → HCSS AMG Heads → BU/SDU Heads → CPO/HR Manager

Each stage has its own responsibilities, statuses, and notifications, helping ensure that suggestions are routed to the appropriate people for review.

The system also provides reporting capabilities, allowing authorized users to view suggestion information by category and status and extract reports when needed.
